Adding Requirements to a Person Record

Requirements can be tied to roles or can be tied to an individual person. Requirements are what an individual needs to fulfill in order to be certified in the role to which they have been assigned. Requirements can consist of documents and/or courses assigned to each role. Roles can have any number of requirements tied to them. Any requirements that have transferred from the role listed in the Role Code column as seen below for the Employee Handbook document requirement. This requirement came from the UNIVERSAL REQUIREMENT ROLE and cannot be removed from this Person's record as it is considered a Must Have requirement. The Classroom Training w/Checklist Course is not a Must Have requirement which means that if needed, this requirement can be removed from this Person's record.

Requirements may transfer from roles and can also be added individually from within the Requirements link of the Person record. If a Requirement is added to the Person record, the requirement policy transfers into the Person record.

  1. From the Person record, click the Requirements link.
  2. Click Action > Add.
  3. Zoom from the Requirement No. field to select the documents or courses to be added.
  4. Specify the following:
  5. Must Have - Check this checkbox if this requirement MUST be fulfilled by the person.
  6. Activate Now - Check this checkbox to activate the requirement and notify the person.
  7. Activate on Prerelease - Check this checkbox if the requirement will be activated once the document is Prereleased.
  8. Activate on Date and Plan Date - Specify the date the requirements will be activated and the plan date.
  9. Click the Save button.
    Result: The requirement has been added to the Person record.
Column Description

Requirement No.

Displays the document or course requirement.

Title

Displays the title of the document or course.

Must Have

Specifies whether or not the requirement must be fulfilled by the person. If the requirement is required, it cannot be deactivated from the Person's record. If the requirement is not required, then the requirement is considered ad hoc and, if needed, the requirement can be removed from the Person's record at any time.

Requirement Status

The requirement status is the status that activates the person on the Needs Training and Resource Inquiry lists. A requirement must be Active in order for it to display on the person's training to do list.

Requirement Certification Status

The following statuses are used to identify a person's requirements:

  • NOT STARTED - The requirement status is still Pending and has not yet been activated.
  • INWORKS - The requirement status is active and is on the person's Things To Do List as a requirement to fulfill.
  • NEED EVALUATION - The SmartComm system is currently evaluating the active requirement to indicate whether or not the requirement is Inworks, Current, or Expired.
  • CURRENT - The person is currently up-to-date on training of the active requirement.
  • EXPIRED - The person is past due for revision or refresher training on the active requirement.

Target Completion Date

This field is the date the person is due to fulfill the new, revised, or refresher requirement.

Role Code

The training roles to which the requirement is attached. Typically, this is one role; however, a requirement may transfer from multiple roles. In the case where there are multiple roles from which the requirement is coming, the Role Code column would display as ....

Also, if no role is listed here, then the requirement did not transfer from a role but instead was added ad hoc to the person's record.

Click in this field to view more information on the requirement such as initial, revision, and refresher certification information.

Certification Information

Click in this field to open the requirement.
